Position OverviewLTD Global is seeking a skilled Hospital Administrative Coordinator to join our dynamic administrative team. This position is a contract role that offers the flexibility of working remotely from Berkeley, California, with the potential for an extension beyond the initial term of August 2025 to October 2025. The successful candidate will work a full-time schedule of 40 hours perweek and will be compensated at a competitive hourly wage of USD 40 to 43. You will connect with coworkers and stakeholders using Microsoft Teams, Zoom, and Confluence, fostering a strong sense of teamwork and unity as you contribute to critical administrative functions.Key Responsibilities• Assess and prioritize administrative tasks, including scheduling, travel arrangements, purchasing, onboarding and offboarding processes, asset management, and documentation to support staff effectively.• Utilize your initiative and professionalism to address and resolve routine to moderately complex issues, employing strong communication skills to engage with team members and external stakeholders diplomatically.• Coordinate complex domestic and international travel logistics for staff members, ensuring all itineraries, arrangements, and necessary changes are handled efficiently.• Plan, execute, and manage a variety of organizational events such as meetings, workshops, and conferences, including overseeing budgets, catering, registration, and audio/visual requirements.• Streamline communication and information sharing across departments, ensuring transparency and promoting understanding of administrative workflows among all stakeholders.• Maintain awareness of organizational policies and practices to ensure compliance in all administrative functions and enhance overall operational effectiveness.• Create and update standard operating procedures and divisional policies, contributing to the organization’s knowledge base and administrative reference materials.• Manage multiple projects autonomously, from research and analysis through to completion, ensuring timely solutions are provided for requests and inquiries.• Address ergonomic support requests promptly, directing staff to appropriate resources and facilitating a healthy and efficient work environment.• Compile and prepare materials for meetings, using judgment to determine necessary documentation and information for participants.• Act as the administrative backup when required, providing consistent support across the administrative team.Patient Population / Client FocusAs a Hospital Administrative Coordinator, your work directly impacts the efficiency of healthcare delivery across various departments. By streamlining administrative processes, you will play a pivotal role in ensuring that healthcare professionals have the resources they need to provide high-quality patient care. Your contributions will support a diverse patient population requiring equitable access to healthcare services, ensuring all interactions uphold our commitment to excellence.Qualifications• A bachelor’s degree in a relevant field is desired, complemented by 0-4 years of significant experience in administrative support.• Documented experience in providing comprehensive administrative assistance, including proficient email management, scheduling, travel coordination, and project support.• Strong skills in using cloud-based software applications such as the MS Office Suite, Google Workspace, ServiceNow, Adobe Acrobat, Confluence, Jira, and video conferencing platforms.• Exceptional written communication abilities, characterized by creating professional and accurate documents, reports, and presentations.• Outstanding organizational skills, capable of managing multiple priorities and deadlines while demonstrating initiative and adaptability in a fast-paced work environment.• Excellent interpersonal skills, maintaining a high level of professionalism, discretion, and confidentiality while engaging with colleagues and stakeholders.Preferred Experience• Experience in a healthcare setting or with healthcare-related administrative functions.• Familiarity with event planning and execution in a professional environment.• Knowledge of regulatory compliance within healthcare administration.Compensation and BenefitsThe position offers a competitive hourly wage ranging from USD 40 to 43, commensurate with experience and qualifications.
